Converting from Access to SQL/MSDE (network system)

Important: It is strongly recommended that all database conversions be performed by a systems administrator.
Requirements
- Mirror computers must be on a network
- Windows XP Professional or Windows 2000 on all Mirror computers
- Person performing conversion must be a network administrator
- Database and images must be backed up prior to conversion
Procedure
- Identify a database server
- One computer on your network needs to run Microsoft SQL Server or MSDE (MSDE is a freely distributable version of the SQL Server engine that is included on the Mirror CD). It is best to use a dedicated database/file server that is not used as a workstation. The server should have an ample amount of RAM (preferably 1GB or more), a fast processor or multiple processors, a fast hard drive or array, and should be running Windows 2000 or higher.
- If you are already running MSSQL Server on the network, you may skip the following two sections and proceed to "Convert database."
- Install MSDE (new computer)
- Follow the steps below if the computer you have identified as a database server does not yet have Mirror installed. If your database server already has Mirror installed, proceed to "Install MSDE (current Mirror computer)."
- Run Windows Update to ensure that you are running the most current version of the operating system.
- Log on to the computer with a user account that has local administrative access privileges.
- Attach the hardware key to the computer’s parallel port. (Note: If you do not wish to use the database server as the Mirror License Server, you may omit this step.)
- Close any programs that may be running on the computer.
- Insert the Mirror CD into the computer’s CD-ROM drive. The Mirror Setup program starts automatically.
- When the InstallShield welcome screen appears, click Next to proceed with installation.
- Read the Software License Agreement. If you agree to the terms of the License Agreement, click Yes to continue with software installation. If you click No, the Setup program will close.
- When prompted for setup type, select "custom installation" and click Next.
- Select "Network license server" and click Next.
- Select a destination folder for the Mirror program files and click Next.
- The Select Components screen appears. Select "MSDE 2000" and click Next.
- A summary of installation details appears. If you wish to review or change any settings, click Back. If you are satisfied with the settigs, click Next to begin copying the Mirror program files to the computer’s hard drive.
- When prompted that installation is complete, click Finish. (Note: If prompted to do so, you should choose to restart the computer.)
- Proceed to "Convert database."
- Install MSDE (current Mirror computer)
- Follow the steps below if the computer you have identified as a database server already has Mirror installed.
- Insert the Mirror CD (the Mirror Setup program will start automatically).
- When the Setup Type screen appears, select "Full Install" and click Next.
- Click Next to maintain the current Mirror installation folder.
- On the Select Components screen, select "MSDE 2000" and click Next.
- A summary of installation details appears. Confirm that "MSDE 2000" is listed under "Selected Components" and click Next.
- When prompted that installation is complete, click Finish. (Note: If prompted to do so, you should choose to restart the computer.)
- Convert database
- Make a backup of the existing database and images.
- Close the Mirror program on all Mirror workstations.
- Log on to the Mirror License Server with a user account that has Create Database privileges on the database server. (By default, local administrators on the database server have Create Database privileges.)
- Select Set Database Options from the Options menu to open the Database Options dialog box.
- Click the Database List tab.
- Select the existing MS Access database in the database list.
- Click Convert to SQL.
- Confirm that all information in the Convert Access to SQL dialog box is correct and click OK.
- Set up all workstations
- Perform the following steps on each Mirror workstation that needs to point to the new SQL database.
- From the Windows Start menu, select Programs, then Canfield Clinical Systems, then Database Configuration.
- Select the new SQL database in the database list.
- Click Set Startup Database.
- Click OK.
